SimplyPats Contacts Manager (Address Book)

SimplyPats Version 7.0.4 onwards comes with a Contacts Manager and reminder system.

Adding / Importing Contacts into SimplyPats

Contact information for your customers can be saved to a Contacts List either by entering the information via the Contacts Screen (Customers > Contacts) or by clicking on the ADD CONTACT button on the Customer Details Screen (Customers > Customer Details).

You also have the option of importing contact information from existing SimplyPats Data Files (.PAT) using the IMPORT button on the Contacts Screen, this will prompt you to choose a file from which the contact information will be imported from.

Entering contact information directly into the Contacts Screen (shown above) will allow you to pre-enter customer information into SimplyPats, this is something that has been requested by a number of users in the past. Prior to this feature being included Customer Contact Information could only be added after downloading data from a PAT Tester or after manually entering an appliance.

Selecting Customer Contact Details to be attached to a PAT Data File

After downloading data from your PAT Tester or manually entering data via the PAT Test Manual Entry screen, you would normally want to associate the data with a customer or add some contact information. This can either be entered manually via the Customer Details Screen (shown below) available from the Customers > Customer Details File Menu or automatically from an existing entry in your Contacts List.

Setting automatic reminders to contact a customer

On start-up SimplyPats has an option to display a message reminding you that a customer or customers need to be contacted, these reminders are based on information you enter into the Contacts Screen for each individual contact.

If you look closely at the first screen shot above, you will notice that there are data columns with headers reading: Reminder, Days and Category. The Reminder Date can be set by choosing a date from the Calendar Date Picker Control that pops up when you click in that field and a Reminder in days can be set using the drop down menu which has a number of pre-defined days.

You will also notice that the there are some contacts coloured Red or Orange and that they seem to all be grouped depending on colour, this is because we have clicked on the Category Header to apply sorting. Red represents customers that are overdue and Orange is a warning that those customers are within the contact window.

The Category number is only there to allow sorting with relation to sorting all Contacts which are overdue for contact (Number 3) or those which are within your contact window of Days set (Number 2). Contacts that are not yet within the reminder window, overdue or do not have a reminder date set are numbered 1.

There are a number of other options on the Contacts Screen: EMAIL allows you to send an email to the selected Contact if you are using a compatible email client, WORD allows you to bring up a MS Word document with the contact details already included, CLIP BD copy’s the contact information to the Clipboard ready for use in other programs and VCARD exports the contact information in VCARD universal format which can then be used by devices or software that support VCARD import.

There are two PRINT buttons, one prints the selected Contact Information while the other to the right prints the information in the main grid.

If you do not want SimplyPats to check for reminders each time it starts (see image above), you can disable this feature by un-ticking the “Check For Customer Contact Reminders when SimplyPats Starts” option at the bottom of the screen.
