Selecting Appliances (via scanning the Barcode or entering the Appliance Id) to create a list which can be saved or used to print out a PAT Report.

The ability to select Appliances by simply scanning the Barcode is possible using the “Scan Barcodes” feature. Once scanned the Appliance will be highlighted in the main grid as well as being added to the “scanned items list”. Selected Appliances can be saved as a list to be easily recalled later or printed out using the report option on the Scan Barcodes screen or using any of the PAT Reports available from the main Print Results screen.

Looking at some of the functionality in more detail we can see that this feature may be of interest to companies that predominantly hire out equipment which in turn needs to be accompanied with a Certificate of Electrical Safety or PAT Report. For example, Tool Hire or Stage Management companies may find this feature particularly helpful when selecting multiple appliances from their warehouse which would then be hired out or allocated for use on an event.

Scanning in the Items or entering the Appliance Id by hand

The “Scan Barcode” screen available from the Tools Menu will accept Appliance Id’s entered via a Barcode reader or by hand using the keyboard. If you are using a Barcode reader it will need to be setup to emulate a keyboard, which almost all USB/Bluetooth Barcode readers should be capable of doing straight out of the box.

You will need to open the SimplyPats Data file that contains all of the items you want to add to the list before using the Scan Barcode feature.

If the scanned item is found in the current data file, a green found icon will appear next to the Scan Barcode field, and the item will be added to the list below. If the item is not found, a red unfound icon will appear and the item will not be added to the list.

Saving and opening lists

You have the option to save the current listed items to a “Scanned List File”, this will allow you to re-list the items in the future instead of scanning them in separately. There are various reasons why this functionality may be helpful such as where the same items are always hired out together for example.

When saving the list of scanned items you are prompted to enter a file name, using the Customer Name, Company Name or Venue Name may be helpful in the future if you need to know what items were hired or allocated to that customer or site.

Printing the Listed Items

If you just want to generate a Report (Printed, PDF, Word, Excel etc) of the items listed this can be done by clicking on the Print Option (See example below).

Create PAT Reports from Listed Items (ideal if you need to supply them with the items out on hire or at an event)

As mentioned, when you scan an item it is also highlighted in the Grid on the main Screen of SimplyPats. This is important as certain functions are available when records are highlighted on the Main Screen such as Save Selected (Save the Selected Items to a New Data File) or Print Selected.

If you want to generate any one of the PAT Reports available from within SimplyPats using data from the Scanned in items you will need to close the “Scan Barcode” screen and return back to the SimplyPats Main Screen making sure that the items stay selected.

From here immediately choose “Print Results” from the “File Menu”.

Provided you still have the items highlighted on the main screen SimplyPats will ask you if you want to Print Selected Records? Choose Yes.

You will now be taken to the Print Results screen where all of the PAT Reports are available. From here you can print an Appliance Register as shown in the example below. If you want more information perhaps one of the PASS Reports would be better, the choice is yours. Either way you can now include the PAT Report with the items.
