Finding Appliances in any PAT Data file using the Find Appliance Globally Feature

Up until now SimplyPats users have been restricted to searching for Appliances in the PAT Data file that is currently open, however that is about to change in future releases of SimplyPats.

This update introduces a new feature called “Find Appliance Globally” which is available from the “Tools” Menu and due to its Global functionality this feature can be used with or without an existing File open.

When you run a Global Search, this feature looks through all of the data files stored in your default SimplyPats Data folder matching up Appliances with the search criteria you have entered.

Searching for a single Appliance using an Appliance Id or Description

If you know the exact Appliance Id of the Appliance you are searching for you can enter this into the Find text field. You will then want to make sure that the “Appliance Id” and “Equals” options are set to the right before pressing Find (as shown below).

You can also enter the Appliance Description or part of the Description, however this may return a greater number of results (As shown below)

As you can see, we typed in Power Lead, set the options to the right to “Description” and “Contains” which meant that SimplyPats will search through all of your data files for any Appliance that has the words “Power Lead” in the description.

We have still managed to find the appliance and highlight it but there are now many more results to manually look through before we can see the appliance that we are looking for.

Searching for types of Appliances by Description

You may want to bring up a list showing all Appliances of a certain type, such as Computers.

In the following example we have searched for and listed all Appliances that have “Computer” as an exact Description and we can now select any of the Appliances in the list and press the Open Button or double click the Appliance to open the PAT Data file containing that Appliance. Note that once the file has loaded the selected Appliance will be highlighted.

If you look at the screen shot above you can see that we were looking for an exact match of the Description entered by selecting the “Equals” option. If we had selected “Contains” the returned results may have been very different as everything with the word “Computer” in the description would have been listed, such as “Computer Lead” for example.

We can also print out a Report (example below) showing our search results by clicking the Print button. The standard report separates and lists the data depending on Customer, Site and Location. As with other PAT Reports in SimplyPats, various export options exist such as PDF or even CSV.

You will also notice that the Find Appliances Globally screen includes both “From” and “To Date” fields, this is so you can search for items that were PAT Tested between a certain date range. Note that it is referring to the actual Test Date and not the Retest Date.

If you wanted to list all Computers tested in March 2012 you would enter “Computer” in the Find Field, select the “Description” option, selected the “Equals” option and set the From Date to 01/03/2012 and the To Date to 31/03/2012.
